Configuring Email Threading Settings

Email Threading identifies unique content, the structure of emails, and redundant emails to reduce the number of documents needed for review. It also sorts emails into coherent thread groups for ease of quality control (QC). This page describes how to configure the settings for the Email Threading algorithm. When you select Email Threading, the Name Normalization and Entity Analysis settings display automatically. This is because the Email Threading algorithm utilizes the output from Name Normalization and Entity Analysis when comparing the senders and recipients in email headers across different messages. The Name Normalization and Entity Analysis algorithm helps create more accurate thread and duplicate groupings, and therefore, always runs in conjunction with Email Threading. However, Name Normalization and Entity Analysis may also be run as a standalone algorithm. See the Name Normalization and Entity Analysis Settings article for more information.


WHO CAN PERFORM:

Users with the Create and manage sets permission can create and edit analytics sets. The Overlay results permission allows users to overlay results into Relativity. When the overlay permission is disabled, it disables the auto-overlay toggle and the manual overlay buttons.

Settings

Here’s a breakdown of the settings available when configuring the Email Threading algorithm:

  • Automatically Overlay Results: When this setting is enabled, the overlay Email Threading step is automatically added to the queue once the analysis completes. This can save time for cases when a job finishes, especially if it finishes after hours. If users are concerned about the number of fields being added to the Relativity workspace, they may want to turn this option off.
  • Reset: This option rolls back any changes made to the Email Threading settings, restoring them to their original default values.

    Exclude Larger Than: Turn this setting on to exclude very large documents from the threading analysis. After enabling Exclude Larger Than, you can specify the size threshold for exclusion. Select whether the size should be measured in megabytes (MB) or kilobytes (KB).

    Analyze Recipient Differences: This setting compares recipient differences in the To, CC, and BCC fields across a duplicate spare email grouping. Emails are marked as inclusive for "Recipient Difference" when differences are present. If differences are identified across the duplicate spare set that would cause recipient information to be obscured in the selected Duplicate Spare pivot, both the pivot and the Duplicate Spare containing the otherwise obscured information are marked with an inclusive reason of "Recipient Difference." Additionally, any related set of reporting charts or statistics related to inclusive reasoning will incorporate the Recipient Difference reason into the reported information. This toggle is set to On by default.

    Generate New Fields:

    • Thread Network: If toggled on, the Thread Network identifies and generates a Relativity field containing the combined normalized participant names from all email headers in a message.

Adding Tags and Markers Using the Thread Viewer

After emails are threaded and the results are overlaid into Relativity, you can use the Thread Viewer to quickly add field tags and communication markers on documents. This helps identify differences in responsiveness or privilege.
