IN THIS ARTICLE

This article explains the options available under the ACTIONS button on the People List page, shown in the same order they appear in the UI. These options allow you to create new profiles, make bulk updates, merge profiles, adjust grid settings, and export data.

WHO CAN PERFORM

Access to each option depends on specific permissions:

  • View People Profiles

    Required to see and open the Entity Profiles tab and its lists. Without it, you cannot view people or organization details.

  • Create Entity Profiles

    Gives access to Create New Profile and Bulk Add Profiles. If disabled, you cannot create new profiles in the workspace.

  • Edit Entity Profiles

    Enables the “Edit” options for one or more profiles. If disabled, all edit functions are hidden.

  • Bulk Edit Entity Profiles

    Allows you to apply edits to multiple profiles simultaneously (for example, Edit Selected or Edit All).

  • Split/Merge Entity Profiles

    Grants access to the merge functionality. If disabled, Merge Selected does not appear.

  • Export Entity Report

    Displays the Export Profile Data option. If this permission is missing, the export feature is hidden.

CREATE PROFILES

Under CREATE PROFILES, you can manually add new People Profiles to the workspace.

Create New Profile

Use Create New Profile to add a person who may not have been automatically identified during Name Normalization and Entity Analysis (NN&EA). Once created, the profile is added to your People List with any information you provide.

Bulk Add Profiles

Select Bulk Add Profiles to import multiple People Profiles at once. This is especially useful if you already have a list of individuals in an external file that you want to bring into the workspace. Once bulk addition is complete, each new profile appears in the People List.

EDIT PROFILES

This section provides options for editing existing People Profiles in bulk.

Edit Selected (# people)

Allows you to change certain fields for only the profiles you select by checking their boxes in the People List. You can modify attributes like Function, Key, or Custodian for all selected profiles at once.

Edit All (# people)

Applies the same edits to all profiles currently visible in the People List. If the list is filtered and shows 250 people, you’ll see Edit All (250). Any changes you make here apply to every profile in that filtered view.

MERGE PROFILES

The Merge Selected option combines multiple People Profiles into one, preserving name variations and email addresses in a single consolidated record. This can help reduce duplicates or unify multiple variations of the same person.

Note: Merging requires the Split/Merge Entity Profiles permission. If you do not see Merge Selected, you may need additional permissions.

MANAGE GRID

In this section, you can reset the People List to its default layout.

Reset Grid to Default

Reverts your grid settings (column layout, sorting, and filters) back to the original workspace defaults. This is useful if you’ve made extensive changes or hidden columns and want to start fresh.

EXPORT PROFILES

This option enables you to export People Profiles to an Excel file.

Export Profile Data

Generates an export of all currently visible People Profiles. Unlike the standard grid export, Export Profile Data fetches email addresses from Azure and places them in the leftmost column. The file’s column order and row selection match what you see in the UI, and the job can be monitored in the Job Dashboard.

  • Job-Based Process: Once initiated, the export appears in the Monitor tab of the Job Dashboard and completes sequentially.
  • Filtering: If your grid is filtered, only those profiles in the filtered list are exported.
  • Permissions: Requires the Export Entity Report permission.
