Export Profile Data

The Export Profile Data feature allows you to export entity profiles—along with their associated email addresses—directly from Entity Profiles. Unlike the standard Syncfusion export option, Export Profile Data retrieves up-to-date email addresses from Azure and places them as the leftmost column in your exported file.

This export process runs as a job, which means you can monitor its progress or completion status in the Job Dashboard. If other jobs (such as Merge, Split, or Bulk Add) are queued ahead of it, your export will begin once those pending tasks have finished.

Why Use Export Profile Data?

  • Consolidated View: You get a single file containing both standard profile details and verified email addresses, making further analysis simpler.
  • Up-to-Date Information: Email addresses are pulled live from Azure, ensuring the most current data is included in your export.
  • Flexible Column Selection: The exported file reflects the columns you see (and how they are ordered) on your screen, while also adding email addresses as the first column.
  • Easy Filtering: If you apply any filters in the Entity Profiles grid, the exported file will only include the rows that match your filtered results.

Who Can Perform

  • To use Export Profile Data, you must have the following permissions:
    • View Entity Profiles: Required to access the Entity Profiles page and see profiles.
    • Export Entity Report: Required to display and use the Export Profile Data button. If this permission is not enabled, the export option will be hidden.

How to Export Profile Data

  1. Open Entity Profiles
    • In your Relativity workspace, click the Matter Analytics tab (or your designated location) and select Entity Profiles.
  2. Filter (Optional)
    • If you want to narrow down the list of profiles you’re exporting, use the grid filters at the top of each column or apply top-level filters like Top-Level Hits. Only profiles visible on your screen will be exported.
  3. Initiate the Export
    • At the upper-right corner (or a similar location in your environment), click Actions and select Export Profile Data.

  4. Confirm the Export
    • A confirmation prompt will appear. Click OK to proceed. The export job is then placed in a queue that can be tracked in the Job Dashboard.

  5. Monitor the Job
    • Navigate to the Job Dashboard (also accessible under Actions or another area in your workspace).
    • In the Monitor tab, you’ll see your export job if it hasn’t yet started. Once it’s complete, it moves to the History tab, labeled as EPM Export.

  6. Download the File
    • After the job completes, open the History tab in the Job Dashboard.
    • Locate the EPM Export entry and select the download link if available (in many environments, the file may also download automatically to your browser’s Downloads folder).

What to Expect in the Exported File

  • Email Addresses in the Leftmost Column: The system retrieves these addresses from Azure and places them as the first column in the spreadsheet.
  • Reflected Grid Columns: The same columns and ordering you had in the Entity Profiles grid at the time of export will appear in the file, after the email address column.
  • Filtered Rows: If you applied filters in the grid, only the profiles shown on your screen will be included in the export.
  • Sorted by Name ID: Even if you sort by a different column in the UI, the exported file is ultimately sorted by Name ID to ensure consistency.

Job Dashboard Integration

All Export Profile Data actions are managed as jobs in the Job Dashboard. If your job encounters an error, it will appear in the Exception tab. Depending on your permissions, you or another user with the appropriate rights can requeue the job.

Tips & Reminders

  • Combine Filters: Use multiple filters for precise targeting of specific profiles (e.g., filtering by name variant or email domain).
  • Check Permissions: If you don’t see the Export Profile Data option, confirm you have the Export Entity Report permission.
  • Large Exports: Large or complex filters can increase the time required for the export to complete, so consider checking the Job Dashboard if your export doesn’t show up right away.
