COLUMNS Button

IN THIS ARTICLE

Use the columns button to customize columns for this privilege log. After customizing columns, save this privilege log as a template to save time when you build out your next privilege log. To view the COLUMNS button from the Privilege Log List, click the privilege log NAME of an Open or In Revision log. If a log has been Finalized, click the row menu and select Revise Log to see the COLUMNS button.

Columns menus

When the Columns button displays, click the menu to see the options. Menu items differ depending on if the log selected is Open, Finalized, or In Revision.

Columns menu options for Open Logs

Logs with the status of Open have the following options. See the articles for these pages for complete details for these options:

  • Select—choose which columns to display

  • Group and Sort—Grouping sorts the privilege log data column by the grouped field's different values. Sorting sorts the data in a field by ascending or descending order.

  • Create Text Column—create a custom text column, for example, a Notes column, to add to your privilege logs. Custom text columns are unavailable outside of MA privilege logs unless the custom text column is part of a finalized log.

  • Create Combined Columns—create a custom combined column, for example, a Privilege Description column, to add to your privilege logs. Custom combined columns are not available outside of MA privilege logs unless the custom combined column is part of a finalized log.

Columns menu options for In Revision or Finalized Logs

Logs with the Status of “In Revision” or “Finalized” have these two options. Again, click the links to view pages that give complete details:

  • Select—choose which columns to display

  • Group and Sort—Grouping sorts the privilege log data column by the grouped field's different values. Sorting sorts the data in a field by ascending or descending order.

Custom fields gear icon

When a custom field is created using either Create Text Column or Create Combined Fields, a gear icon displays the column name's right on the privilege log page.

Gear icon menus

When clicked, the gear icon next to the new column name for a field created using Create Text Column shows two menu options:

  • Rename—Click to rename this text field’s column name.

  • Delete— Click to delete this custom text field. A warning message displays, “Are you sure you want to delete this custom column? This will permanently delete and remove the column from all open privilege logs.” Choose Yes or No.

When clicked, the gear icon next to the column name for Create Combined Columns shows three menu options:

  • Edit—allows you to edit the name or underlying logic of this column.

  • Recalculate—recalculates the values in this column.

  • Delete—deletes this column. When selected, this warning message displays, “Are you sure you want to delete this custom column? This will permanently delete and remove the column from all open privilege logs.” Choose Yes or No.
