Recalculate Column Values

Recalculate Column Values updates a combined column’s data when new information becomes available or after you modify underlying fields (e.g., changing custodian names, adjusting privilege reasons). Recalculation ensures that the combined column reflects the most current data across all documents in your Privilege Log.

Who Can Perform

  • Requires Create and Manage Privilege Logs permission.
  • The log must be Open or in a status that allows modifications.

When to Use

  • Underlying Field Updates: For instance, if a user updates the Privilege Reason field on multiple documents, your combined column referencing the Privilege Reason may require a recalculation to display new values.
  • Sync Search Population: If you’ve added or removed documents from the log, recalculate to ensure newly added documents have column values and removed documents are no longer included.

Steps to Recalculate

  1. Open the Privilege Log: Select the log from the Privilege Logs list.
  2. Locate the Combined Column: Identify the combined column you wish to update. The header of this column will be lighter blue in color.
  3. Gear Icon (⚙): Click the gear icon beside the column header.
  4. Choose “Recalculate Column Values”: The system begins recalculating your combined column data.
  5. Auto-Refresh: A 5-second refresh interval starts, visible by a loading icon. Wait until calculation is complete or click Stop if necessary.
