Edit Combined Column

Editing a combined column in a Privilege Log lets you change the field’s name, update the concatenation formula, or tweak any conditional rules (e.g., “If X, then use these fields”). Changes may be necessary if you have new data to incorporate or if existing logic needs refinement.

Who Can Perform

To edit a combined column:

  • You must have Create and Manage Privilege Logs permission.
  • The Privilege Log must be in an Open status. Finalized logs only allow you to view column settings without editing.

Accessing the Edit Option

  1. Open the Log: Navigate to Privilege Logs and click the name of the log you want to edit.
  2. Find the Column: Locate the combined column in the log’s grid.
  3. Gear Icon: Click the gear icon (⚙) next to the column header.
  4. Select “Edit Column Settings”: This opens the combined column editor screen.

Editing Name or Logic

  1. Column Name: You can rename the column at the top of the editor page.
  2. Conditions: Update any “IF/THEN” style rules under the “Conditions” section.
  3. Concatenated Values: Type @ to select existing fields or surround free text in quotes, e.g. "Privileged Document - " .
  4. Add or Remove Rules: Click Add Rule to create more conditions or delete a rule you no longer need.
  5. Test: Use the Test button to see how your updated column will display for sample documents.

Applying Changes

  • Save: Click Update Column to apply the changes. This triggers a field calculation, which may start the auto-refresh cycle (see previous article).
  • Auto-Refresh: While the system recalculates, it will refresh the log every 5 seconds unless you click Stop.
  • Completion: When finished, the updated column values are displayed in the grid.

Tips and Considerations

  • Review Conditions Carefully: Each rule is evaluated in order. Make sure the highest-priority conditions appear first if you use multiple.
  • Use Global Formatting: Consistent capitalization or punctuation across all entries makes your log more readable.
  • Be Aware of Restrictions: You cannot edit the combined column’s logic during active calculation. Wait until the process completes or press Stop if needed.
  • Recalculate If Needed: If data in the underlying fields changes later, consider using Recalculate Column Values to ensure everything stays synced.
