Mentions In the MA Thread Viewer

Mentions are identified in the body of emails (outside of email headers) and in non-email documents, such as attachments. To view and interact with mentions in emails, use the MA Thread Viewer.  

Types of mentions

There are three types of mentions,  Name, Email, and General. Names, emails, or general mentions are manually identified and linked to a profile by reviewers using the MA Viewers. Because these are manually identified, names can contain just a single first name or a single last name as a mention.

Mention interactions

Mentions are only associated with People Profiles, not Organization Profiles. Name Normalization and Entity Analysis identifies the name and email mentions in the author field, but you cannot view or interact with mentions boxes in the author field. To view and interact with the communication boxes linked to People Profiles in email headers, use the MA Thread Viewer. Make sure that the Mentions toggle (under View) is set to "on" to see mentions that exist on the documents. If a color-coded box surrounds a mention, this means the mention is linked to a person, and the color represents this person's function. If a single mention is linked to more than one profile, the color-coded box will display a diagonal line pattern to indicate more than one person is associated with the linked box. Click on the linked box to list all profiles linked to this mention, then click on a specific profile in the list to see more information about this person. If a colorless box surrounds a mention, this means the mention is not linked to a person.

Clicking on a linked mention box will open the Profile Summary Card, which provides more information about the mention and to who it is linked to. 

Create a new or link to the existing mention

Set the Mentions toggle under Views to "on." In the Conversation View, create a new mention by highlighting the desired word or up to six words. An option appears above the highlighted word(s) to Link to Profile.

Click this option, and a modal window appears. You can select from existing profiles to link this mention or select New Profile. Click LINK to link this document to the profile as a manual mention. Once a mention is linked, it shows up under the Mentions tab on the People Profiles Details page for this person's profile.

If you select New Profile, the LINK button changes to CREATE. When you click Create you are taken to the New Profile page under Entiry Profiles where you can enter information about this new profile. 

Unlinking Mentions

To unlink a mention, in the document that the mention was created in, click on the color-coded mention box in the Conversation View. When the Profile Summary modal window displays, click UNLINK to unlink this mention from this profile. When a mention is unlinked, the Mention box is removed from the viewer and is also removed from the profile and must be recreated in the viewer to relink it.

Document associations

The Thread Viewer can display information from many different documents at a time. The control number displayed at the top of Thread Viewer represents the document you are on, but it does not necessarily represent the document a mention will be linked or unlinked to. The control number displayed at the top of the message in the conversation view where the mention is located represents the document a mention will be linked or unlinked to. In the example below, the text "George" will be linked to CNTRL_T00000261, even if this is not the same document you are located on.
