Sync Search Population

The Sync Search Population feature allows users to add and remove documents from an open Privilege Log by syncing the log’s saved search. This process updates the log with any new documents added to the saved search and removes documents no longer in the scope of the search. Combined column formulas are recalculated accordingly.
This feature is particularly useful as reviewers may identify additional documents that fall within the scope of privilege or remove those that do not. The Sync Search Population action ensures that these changes are reflected in the Privilege Log, keeping it accurate and up to date.
WHO CAN PERFORM
If you have permission to Create and Manage Privilege Logs, you will see the Sync Search Population option for any Privilege Log in the Open status.
Steps to Sync the Search Population
- From the Privilege Log List Page:
- For any Privilege Log with a status of Open, locate the log in the list.
Click the three-dot menu on the far-right side of the log's row.
- Select Sync Search Population from the menu.
- From the Privilege Log Content Page:
- Open the desired Privilege Log by clicking the Log Name in the list.
Click the Manage Log button on the Privilege Log Content page.
- Select Sync Search Population from the dropdown menu.
- Confirmation Popup:
- A confirmation popup will appear asking if you wish to proceed.
Click Yes, then Submit to initiate the process.
- Status Update:
Regardless of where you initiated the sync, you will be navigated to the Privilege Log List page.
- The log status will update to Syncing Population, and the action will process the following:
- Adding documents that have been added to the saved search since the last sync.
- Removing documents that have been removed from the saved search since the last sync.
- Effects on Combined Columns:
- When new documents are added to the log, formulas for any combined columns will automatically calculate and apply.
- When documents are removed, the formulas for combined columns will clear for the removed documents, ensuring they are no longer part of the privilege log.
By syncing the search population regularly, you ensure that your Privilege Log reflects the most up-to-date document set based on your saved search's criteria, keeping your combined column data accurate.
