Indexing Tab

IN THIS ARTICLE:

The Indexing Algorithm in Matter Analytics (MA) indexes documents separately from other analytics and reindexes document text and metadata when needed. Indexing also helps with searching and retrieving information more easily within a workspace.

If an MA Search Index is not built via the Indexing Algorithm (or if some documents are not included in the index that are in the Algorithm run), the index runs during the run algorithm. Separating search index management into its own algorithms targets documents sets for indexing without being affected by run-time or algorithm issues. 

WHO CAN PERFORM:

Anyone granted permissions to access indexing via the Data Management > View Indexing setting. If you need to access indexing and do not see the Indexing tab, contact support.

Indexing Sets

All current index sets appear on the Indexing table with current status for each index set displayed:

NAME The name of the index set.
INDEXING TYPE The indexing type: Index
ID An identification number assigned to each index set.
CREATED DATE The date and time an index set was created.
COMPLETED DATE The date and time indexing completed for an index set.
INDEXING STATUS The status of an index set: Queued, Waiting for Queued (next to be queued), Completed, In Progress, or Cancelled.
NEWLY INDEXED

Displays a the number of newly indexed documents as a link.

Clicking this link opens the Relativity saved search containing the newly indexed documents.

RE-INDEXED

Displays a the number of re-indexed documents as a link.

Clicking this link opens the Relativity saved search containing the re-indexed documents.

PREVIOUSLY INDEXED

Displays the number of previously indexed files in Relativity as a link.

Clicking this link opens the Relativity saved search containing the previously indexed documents.

EXCLUDED The number of files excluded from the index due to file size constraints specified when the index was created.
MORE button Opens the index set details and settings for an index set.

Click the status link in the Indexing Status column to view the processing details for that index set.

Click REFRESH to load the latest indexing jobs and statuses. Click COLUMNS to change which columns are displayed.

Index Details

Click MORE in the last column of the Indexing table to view index set details, as well as edit or delete an index set.

Index Set Name The name of this index set.

Refreshes the details for this index set.

Opens a menu to name or delete this index set.
ID The identification number assigned to this index set.
Modified By The user name of the person who last modified this index set.
Document Set The document set name and location that is used for this index set.
Indexing Type Displays if this is an index or a re-index. ??? Why do users need to know this?
Creation Date The date and time this index set was created.
Completion Date The date and time indexing completed for this index set.
Indexing Status The status of an index set. You can also RE-QUEUE this index set if it was cancelled or suspended. ???
Newly Indexed

Displays a the number of newly indexed documents as a link.

Clicking this link opens the Relativity saved search containing the newly indexed documents.

Re-Indexed

Displays a the number of re-indexed documents as a link.

Clicking this link opens the Relativity saved search containing the re-indexed documents.

Previously Indexed

Displays the number of previously indexed files in Relativity as a link.

Clicking this link opens the Relativity saved search containing the previously indexed documents.

Excluded Displays the number of files excluded from the index due to file size constraints specified when the index was created.
Workspace Index Total Displays the total number of files indexed in the current workspace.
VIEW SETTINGS button Displays all the settings for this index set.
