Organization Profiles

IN THIS ARTICLE:

This article describes an organization's profile. To navigate to an organization's profile page, click an ORGANIZATION NAME on the Organizations List page. The Organization Profile page has two sections: Name and Additional Information and People. At the top of the profile page, the following information is displayed:

  • Organization: the name associated with this profile page. The share icon next to the name allows you to share the information on this profile page via email or link.
  • Total Documents: the number of documents where the people in this organization appear in the email headers.
  • Set: filter the profile page by set using this drop-down. "All" is selected by default, including information from all overlaid documents across all sets (recommended view for most use cases). Selecting a specific set in this list will filter the information in the People section.

WHO CAN PERFORM:

The View people profiles is the required permission to view the Entity Profiles tab. When disabled, it disables the Entity Profiles tab and disables the ability to click into people or organization details. Color coding by function remains viewable within reports and MA Viewers. The Edit entity profiles permission allows access to the Edit Selected Profiles and Edit All Profiles menu options under the ACTIONS menu on the People List and Organization List pages. Allows access to the EDIT menu item for a specific person or a specific organization. When disabled, it hides all edit options on the ACTIONS and EDIT menus. To manage entity profiles, users need add/edit/delete permissions on the MA People and MA Organizations objects in Relativity permissions.

Organization Profile page

The organization profile page includes information, such as the initial organization name, the domain, and the associated people, and in some cases, the type automatically populates. The rest of the information, including any modifications to the name, is manually entered and updated in edit mode. If new people or documents are identified as belonging to this organization during subsequent Name Normalization and Entity Analysis runs, the information in this profile will be automatically updated.


Name and Additional Information

This section displays additional information about this organization. These fields can be manually modified in edit mode. These fields are blank by default, and the information must be manually entered.

ORGANIZATION NAME

The name of the organization. This is auto-populated by MA, using the email domain name. This can be manually updated in edit mode.

DOMAIN

The email domain associated with this organization. This is auto-populated by MA and cannot be updated, even in edit mode.

KEY ORGANIZATION

Displays a star icon if this organization is flagged as key. Mark an organization as "key" for easy filtering. This field is "No" by default and must designate "Yes" manually. Key is for filtering and tracking and has no additional functionality associated with it.

PHONE NUMBER

The primary phone number for this organization. This field is blank by default and must be manually updated.

ORGANIZATION TYPE

The Organization Type helps describe an organization and is similar to the People Profile Functions. There are four default Organization Types, and in some situations, these default types are auto-assigned by MA during a Name Normalization and Entity Analysis run:

  • Education--MA auto-assigns this type to all organization domains that end in .edu

  • Government--MA auto-assigns this type to all organization domains that end in .gov

  • Law Firm--MA uses a pre-built library to auto-assign this type to over 1,800 law firm domains

  • Personal--MA uses a pre-built library to auto-assign this type to over 100 personal email domains (Gmail, Yahoo, Hotmail, etc.)

This field can be manually updated edit mode for Organizations where the type is not auto-assigned or for situations where you want to change the auto-assigned value.

Additional custom types may be created for Organizations in Settings: Organization Profiles.

COUNTRY

The primary country of origin or the location of headquarters to associate with the organization. This field is blank by default and must be manually updated.

ADDRESS

A representative address for this organization. This field is blank by default and must be manually updated.

CITY

The city corresponds to the identified address for the organization. This field is blank by default and must be manually updated.

STATE 

The state that corresponds to the identified address for the organization. This field is blank by default and must be manually updated.

ZIP CODE

The zip code corresponds to the identified address for the organization. This field is blank by default and must be manually updated.

RELATED ORGANIZATIONS

Separate organization profiles that are related to this organization. Click on the organization name link to navigate to the profile in a new tab. This field is blank by default and must be manually updated.

ORGANIZATION DESCRIPTION

A description about this organization. This field is blank by default and must be manually updated.

People

The People section lists all the people associated with this organization. If a person has at least one email address with an email domain that matches the organization's domain, then this person will appear in the People section of the organization's profile page. A person can be associated with more than one organization and appear in more than one organization profile.  You cannot manually add or remove people from the People section within the organization profiles. The following  columns are displayed for people on the organization profile page:

DISPLAY NAME

The display name includes a person's First Name, Middle Name, Last Name, and Professional Suffix. Click on the display name link to navigate to the person's profile page in a new tab. The Display Name formatting is controlled in the People Profile Preferences setting page.

PRIMARY ORGANIZATION

The primary organization this person belongs to.

FUNCTION

Functions describe the type of role a person plays, particularly as it relates to privilege review. Each profile can only be assigned to one function.

KEY

Displays a star icon if this person is flagged as key.

CUSTODIAN

Displays "yes" if this person is flagged as a custodian

COMMUNICATIONS

The number of documents where this person is associated with this organization i.e. has an email with this organization's domain in the email headers.  Click to view this set of documents. This count may be different than the count in the People List if an individual has documents that correlate to a different email domain.

The columns in the People section can be filtered and sorted, but they cannot be resized and column selection (adding or removing columns) is not available here. Merges and Splits may affect the People List sections within the Organization profiles as it may change the organization affiliation with an existing People Profile or introduce new People Profiles to an organization.

Click EDIT to display the menu.

Edit Organization

Select Edit Organization to make the Name and Additional Informational fields on this page editable. See the Edit Organization article for details.

Update People

Update People has two options, Edit Selected Profile and Edit All Profiles. The Bulk Update screen for the selected people or for all people for this organization displays when you select your preferred option.
